Privacy Policy

This policy covers the Kaizen AI Solutions website (kaizenaisolutions.com) and the Kaizen AI receptionist service. The short version: we collect what we need to answer your phones and hand you your leads, we encrypt it, we never sell it, and we never use it to train public AI models.

1. What we collect

On the website: information you submit when booking a demo (name, email, phone, business details — processed through Cal.com) or contacting us. We don't run third-party advertising trackers.

Through the Service: when our AI receptionist answers a call for a client business, we process the call audio, a recording and transcript of the call, the caller's phone number, and the details the caller shares (for example, a service request and callback number). We also hold the business information our clients give us to train their agent — services, hours, pricing, escalation rules.

2. Call recording

Calls handled by the Service are recorded and transcribed so our clients receive transcripts and lead details, and so we can tune their agent. Client businesses are responsible for any caller disclosures required by the laws that apply to them; on request we configure agents to announce recording at the start of the call.

3. How we use information

To deliver the Service: answering and routing calls, booking appointments, sending lead alerts, producing transcripts and call digests, monitoring quality, and billing. We do not sell personal information. We do not use call data to train public or third-party foundation models.

4. Who we share it with

Only the vendors required to run the Service: telephony carriers, voice-AI infrastructure, cloud hosting, scheduling (Cal.com), and payment processing (Stripe). Each processes data only to provide their service to us. We don't share data with advertisers or data brokers.

5. Security & storage

Recordings, transcripts, and lead data are encrypted in transit and at rest and processed on SOC 2-audited infrastructure in the United States.

6. Retention, export & deletion

Client businesses own their transcripts, recordings, leads, and knowledge base and can export them at any time, including on cancellation. To request access to or deletion of your personal information — whether you're a client or a caller — email hello@kaizenaisolutions.com. California residents may exercise their rights under the CCPA through the same address; we don't sell personal information, so there is nothing to opt out of selling.

7. Cookies

The website uses only the cookies needed to function. Embedded services (Cal.com scheduling) may set their own cookies, governed by their policies.

8. Children

The website and Service are not directed at children under 13.
